If you want to hire people from abroad - we take over all the bureaucracy for you

If you want to hire people from abroad - both blue collar workers and highly qualified specialists (engineers, IT professionals, teachers, designers and many other experts) - we take over all the bureaucracy for you.
We choose the right legalization path: a work permit (e.g. type A), a declaration on entrusting work to a foreigner or a shorter “job invitation” process – always in line with current regulations and the latest changes introduced in 2025, including full digitalization of procedures.

Legal safety, fast handling and real support

Hiring foreigners after the 2025 reform requires strict compliance with new rules - full online procedures, more detailed documentation requirements, short notification deadlines and significantly higher fines for illegal employment (up to PLN 50,000 per person).
Today employers must, among other things, provide contracts in a language understood by the foreigner, inform authorities when work starts or does not start and monitor whether the employee actually performs the duties specified in the permit.
We take this burden over. At asesorialex.pl we analyse your business situation, choose the optimal procedure, prepare all documents and represent you before authorities - so that you can focus on recruitment and business rather than tracking every legal amendment.

Comprehensive services for obtaining work permits in Poland

The process of hiring a foreigner depends on nationality, residence status, position and intended length of employment.
That is why we always start with an individual assessment and then choose the optimal combination: work permit, combined residence and work permit, declaration or job invitation.

Case assessment - employer and foreigner

We check whether the candidate actually needs a work permit, or can rely on one of the statutory exemptions (e.g. refugee status, graduate of Polish studies, certain residence titles).
We verify the residence document (visa, visa free stay, residence card or other title) and the purpose of stay stated in the document.
We assess whether it is better to use:
  • a work permit (type A or another type),
  • a single temporary residence and work permit,
  • a declaration on entrusting work (for selected nationalities),
  • a job invitation as a basis for a national visa.
Result? You receive a clear plan: which document, which authority, what deadlines and what obligations your company will have.

Work permits (type A and others)

We prepare and file applications for work permits type A – the basic document allowing a Polish employer to hire a third country national legally.
We also handle other types of permits (e.g. for management board members, posted workers, seasonal work) where required by the role.
We make sure to meet requirements for minimum working time, remuneration level and consistency between the permit and the actual working conditions.
For whom?
  • Citizens of Colombia, the Philippines, Turkey, India, Nepal, Bangladesh and other countries not covered by the simplified declaration procedure.
  • Also citizens of “declaration” countries where the planned period of work, type of contract or other conditions go beyond the simplified path.

Single temporary residence and work permits

We support procedures where one decision legalizes both the foreigner’s stay and work for a specific employer.
We help prepare full documentation, including proof of accommodation and stable income.
We advise whether it is better to apply directly for a residence card or to combine a visa with a separate work permit.

Declarations on entrusting work

For citizens of selected states (currently Armenia, Belarus, Moldova, Ukraine - under the latest regulation) we use the simplified declaration procedure.
We file declarations via the praca.gov.pl portal, ensuring deadlines and data correctness are respected.
We monitor time limits for work based on declarations and conditions for moving to a full work permit.

Job invitations and visas

We prepare a complete set of documents and the wording of job invitations used to apply for a national visa at a Polish consulate.
We adapt invitations to the candidate’s nationality and situation (e.g. Colombia, the Philippines, Turkey) to minimise refusal risk.
We explain, step by step, how to move from a visa to a longer term stay and work title if needed.

PESEL, taxes and social security

We assist in obtaining a PESEL number – either automatically via registration of stay over 30 days or by filing an application at the municipality when PESEL is needed for tax or social security purposes.
We clarify what data must appear in ZUS and tax registrations and how to correctly report foreign workers’ salaries.

Representation before authorities

We communicate with voivodeship offices, labour offices and other institutions - filing applications, responding to requests and supplementing documents.
We prepare explanations and appeals if an authority raises doubts.
We prepare you for possible inspections by the labour inspectorate or Border Guard - you know exactly what documentation to have and how to store it.

From idea to legal work - how we cooperate?

Step by step

Working with us is a transparent and efficient process that allows you to handle all the paperwork quickly and without unnecessary complications.
Thanks to our experience and proven procedures, we ensure a smooth process and save your company time.
1
Get a free consultation
During a brief phone or online conversation: - we discuss your company profile and the positions you plan to fill, - we ask about the candidates’ nationalities, - we conduct a preliminary assessment of which legalization pathways are available and how long they will take.
Goal: By the end of the consultation, you’ll know whether your plan is feasible, what documents will be needed, and whether it’s better to proceed in stages (e.g., declarations first, then permits).
2
Documents
You provide us with company data, candidate information, draft contracts, and terms of employment.
We provide you with a step-by-step checklist of documents, as well as ready-to-use templates for declarations and powers of attorney to be signed.
If necessary, we’ll let you know which documents need to be certified by a sworn translator (e.g., diplomas, employment certificates).
3
Filing & representation
We complete and submit applications electronically via praca.gov.pl and other required systems, in accordance with the new documentation requirements.
We respond to requests for additional information, monitor deadlines, and ensure the accuracy of the information provided to government agencies (e.g., notifications of employment start dates, breaks, and early termination of employment).
4
Decision & next steps
We will notify you of the issuance of a permit, the filing of a declaration, or a valid invitation - both via email and in the form of a brief summary of “next steps.”
We provide instructions for the employee: what to do at the consulate, how to prepare for picking up the residence card, and when they can actually start working.
If necessary, we plan further steps: extensions, changing employers, family reunification.

Frequently asked questions

Questions you might have before submitting the form to us - and we already know you might ask them, and we have the answers.
Can I hire a citizen of the Philippines / Colombia / Turkey in Poland?
Yes, hiring such individuals is possible, but in most cases it requires a work permit or a residence and work permit. The declaration procedure is reserved only for certain nationalities (including Armenia, Belarus, Georgia, Moldova, and Ukraine).
We help you choose the right path - most often this will be a Type A work permit and the appropriate national visa or residence card.
What is the difference between a declaration and a work permit?
A declaration of employment of a foreign national is a simplified procedure available only to citizens of certain countries, which allows them to start working relatively quickly for a fixed period.
A work permit is issued by the provincial governor; it applies to a much wider range of nationalities and often covers longer periods of employment, but the process is more formalized and takes longer.
How long does it take to obtain a work permit?
The regulations generally specify 30 days, but in practice, the process can take several months in many provinces - depending on the office’s workload and the completeness of the documents.
That is why it is so important to prepare the application correctly and respond promptly to requests for additional information - this is exactly what we handle as part of our service.
Does every foreign national need a PESEL number to work in Poland?
The right to work stems primarily from legal residence and the appropriate documentation (permits, declarations, or statutory exceptions), while a PESEL number is essentially required for tax filings, Social Insurance Institution (ZUS) matters, and interactions with government agencies.
If a PESEL number was not automatically assigned upon registration for a stay exceeding 30 days, the foreign national may submit an application to the local municipality - we assist in preparing such documentation.
What are the consequences of illegally employing a foreign national?
Following the changes in 2025, penalties are significantly higher - fines can reach up to PLN 50,000 per foreign national, and additionally, the company may be placed on a list of entities with restricted ability to continue hiring foreign nationals.
Inspections by the National Labor Inspectorate (PIP) and the Border Guard may take place without prior notice, and deficiencies in documentation or discrepancies between the content of the permit and the employee’s actual scope of duties may result in serious sanctions.
Can I convert a contract for specific work into an employment contract without a new permit?
Generally speaking, if your permit application or declaration specified a civil law contract and you subsequently change it to an employment contract with better terms, you do not always need to apply for a new document - the regulations allow for such a change because it is more beneficial to the foreign national.
However, we always analyze your situation to ensure that the change in the form of employment does not violate the terms of the decision.
